CLIENT NEWSLETTER – 1st EDITION
APRIL 2021

This is a 5-minute read

Welcome to the first edition of Innovate Awarding’s Client Newsletter, a new monthly update for our EPA and Qualifications Clients, giving you the latest news, updates and key information needed to continue to work together successfully.

At the end of this Newsletter, there is an opportunity for you to give us your feedback on how we can improve the service we provide to you.

END-POINT ASSESSMENT

Recently the 100,000th Apprentice completed their End-point Assessment. Innovate Awarding has certified over 15,000 of those Apprentices nationwide. We thank all our clients for your continued support as we work in partnership to deliver a ‘No-surprises’ approach to End-point Assessment.

WORKING TOGETHER SUCCESSFULLY

As we approach the end of this academic year, here are a few things that are key for all of us to be able to support as many apprentices as possible to be assessed as efficiently as possible. We have identified some best practice guidance that will support Innovate Awarding to deliver the best experience for our Clients and of course, our apprentices.

Ensuring EPA Pro is up to date

It is really important that Expected EPA ready dates are accurate as these dates are what we use to plan our workforce for the apprentices you anticipate completing gateway.

Keeping EPA Pro updated with your apprentice’s status is the best way to ensure that we have all of the information we need to plan and prepare for their assessments, this means we can provide you with the best possible levels of service.

It is important to ensure that any learners on breaks in learning are ‘suspended’ and any learners who have left are ‘withdrawn’. This can be completed through a change of circumstance in the Issue Management area of EPA Pro.

Late Registration

As we have mentioned accurate data is extremely important to us, as we look to provide the best, most efficient EPA experience. Late registration of apprentices can mean we don’t have available assessors at the time or in the location needed. Our published policy states that an apprentice should be registered a minimum of 60 days prior to their gateway, and we encourage our clients to do this earlier. A charge of £25 per apprentice can be made where apprentices are registered with less notice than this, without exceptional circumstances.

Planning ahead for gateways

Please ensure that gateways are submitted with reasonable time if you plan apprentices to be achievers for this academic year to ensure their assessments are booked in a reasonable timeframe.

Ensuring that planning meeting request forms provide 3 dates across a range of days and times give you the best opportunity for the planning meeting to be booked in line with your preference. 9 am - 10am is our busiest time so we do have better availability at other times of the day.

It is vital to ensure that the evidence required for End-point Assessment (including witness testimonies for alternative observation assessments for example) is all prepared and submitted to prevent delays in the EPA journey occurring.

Ensuring Planning Meeting attendance

We deliver a large number of planning meetings every day at Innovate Awarding and we are extremely proud as to the progress we have made in delivering this process. On average approximately 5% of the meetings we have booked in the diary are missed for various reasons, some due to illness but often through non-attendance. Missed planning meetings can delay the process due to the need to re-book at a later date and means that assessment dates are often pushed back. We continue to ask our clients to work closely with apprentices and employers to support the process. It is vital to ensure apprentices know when to call in for their planning meeting.

Cancellation and Non-Attendance

Innovate Awarding has a Cancellation and Non-Attendance policy which is published on EPA Pro.

As part of our work on this policy we will be capturing the data on those assessments that do not happen due to late cancellations or non-attendance and can make this available from the end of April 2021. We will make cancellation and non-attendance reports available monthly and in next months Client Roundup we will share a link to the related charges.

A date for implementation of charging for cancellation and non-attendance is dependent upon Covid-19 and our return to normal, but we will ensure that we keep clients updated on this.

Preventing any missed assessments is also key in ensuring a smooth EPA journey. We confirm and schedule all assessment components at the Planning Meeting and apprentices will receive email confirmation following the meeting.

Given your relationships with apprentices it is good practice to ensure your apprentices are aware of their assessments and understand the importance of attending. A no-show / non-attended assessment is classed as a fail against the apprentice and will also have an impact on delaying the EPA process.

IFATE survey on EPA flexibilities

The Institute for Apprenticeships and Technical Education has launched a new survey to explore how EPA flexibilities are working and what we can learn from these temporary arrangements. The survey isn’t just aimed at EPAOs – apprentices, providers, employers and other stakeholders are also being asked to share their view.

The survey can be accessed here and is open until Friday 23rd April. Please do encourage your customers, apprentices and colleagues to respond.
